Meeting Space Forms can be downloaded and submitted to NAPSLO. Forms will not be processed unless you have registered for the Convention.
On and Off-site functions are allowed as long as they are conducted according to the rules listed below. NAPSLO must be informed of all On and Off-site functions. NAPSLO has control of all meeting space at the hotels. Please notify NAPSLO of all On and Off-site functions by completing the On and Off-Site form here. Remember, the On-Site and Off-Site Hospitality & Function Listing Form must be completed and returned to the NAPSLO Meetings Department by September 3, 2010 in order to be listed in the NAPSLO DAILY NEWS.
1. Tuesday will be open for members to meet with other members. On-site functions will be allowed Tuesday evening prior to 7:30 p.m, and on and off-site functions will be permitted after 7:30 p.m. Both on and off-site hospitality functions and receptions will be allowed after 7:30 p.m. on Tuesday and all Wednesday evening.
2. No functions or transportation to functions may conflict with the Opening Reception on Monday, October 11 from 5:30 p.m. – 7:30 p.m. Please schedule transportation to off-site events on Monday to begin no earlier than 7:30 p.m. Transportation can not interfere with the Opening Reception.
3. NAPSLO must be informed of all hospitality functions whether they are held On- or Off-site. This is necessary to allow NAPSLO staff to respond to questions regarding hospitality functions, times and locations. It also allows NAPSLO to provide accurate motor coach information to the hotel’s security department.
4. Members will not be permitted to deliver any gifts, invitations or brochures to guest rooms.
5. Meeting space is available to registered members only. NAPSLO must have your completed registration material prior to releasing meeting space for your private function. A meeting space request form can be downloaded online. Please submit the completed form to the NAPSLO office by mail, email to debbie@napslo.org or fax to 816-741-5409. Meeting space is available at the Marriott and Hyatt.
6. Due to the limited meeting space available, firms must register at least 10 delegates to have exclusive use of a meeting room during the day (7:00 a.m. to 4:00 p.m.) There is no minimum registration requirement for evening functions. Meeting rooms are limited to one per firm with 10 registrants.
7. Meeting space will be located in a secure area. It will be necessary for all employees, planners and guests to be registered for the convention in order to gain access to your private meeting room for meetings, meal functions and/or receptions. No exceptions will be made. Meeting space is limited to one meeting room per firm between the hours of 7:00 a.m. and 4:00 p.m. Meeting space is available from 9:00 a.m. – 5:00 p.m. on on Monday and from 7:00 a.m. – 4:00 p.m. on Tuesday and Wednesday. Meeting space is available after 7:30 p.m. on Monday, and after 5:00 p.m. for receptions and dinners on Tuesday and Wednesday. Please do not make plans for your meeting or event until NAPSLO has confirmed meeting space availability.
8. Meeting space is available at the Marriott and Hyatt. A bridge located on the lobby level of each hotel connects the hotels.
9. The majority of meeting space over 1,000 sq. feet is available at the Hyatt. There is a very limited amount of meeting space over 1,000 sq. feet at the Marriott.
10. If all the meeting space has not been reserved as of August 1, a firm with more than 10 registrants may request additional space.
