HOTEL RESERVATIONS & CHANGES
A link to hotel reservations is included at the end of the reservation process. If you need to make changes to your reservation or did not make a hotel reservation, please visit the following site, http://hotel.napslo.org. In order to make a hotel reservation, you will need the confirmation number listed on your confirmation letter and also the e-mail address listed on the letter.

HOUSING POLICIES

Rooms have been added at the Westin San Diego. The Westin San Diego is within walking distance of the Hyatt, approximately 0.4 miles away. One room per attendee. If a hotel room registrant is not registered for the convention, NAPSLO reserves the right to cancel the registrant’s hotel room reservation without notice.

When making your reservations online, please note that the Annual Convention begins at 10:30 a.m. on Monday, October 10 and only a very limited number of hotel rooms are available on Sunday, October 9. Hotel rooms in the San Diego area are in great demand and we expect the hotels to sell out, so please use the online link to complete your hotel reservation. Room rates are not guaranteed beyond 9/1. Rooms may sell out prior to the registration deadline. NAPSLO may not be able to accommodate a reservation for you at the Convention hotels.

CANCELLATIONS, REFUNDS & CREDIT CARD AUTHORIZATION
A credit card is required to process all reservations. Your card will be used to guarantee your room for one night’s room and tax.  Cancellations may be made up to 14 days prior to your arrival without incurring a one night’s room and tax penalty.  Should you make any changes to your reservations after that time or shorten your stay, your one night’s deposit will be forfeited. Your signature indicates credit card authorization for room and tax charges.  If you fail to arrive on your confirmed arrival date, your reservation will be cancelled for all nights and your deposit will be forfeited.  There will be no refunds for changes or cancels 14 days prior to arrival.

HOTEL, SUITE & SLEEPING ROOM CHANGES
Suite changes must be made with Vicky Fleming at vicky@napslo.org. Sleeping room changes can be made through the hotel reservation link listed on your e-mail hotel confirmation. After September 8, please call 888-591-1234 for changes to your Hyatt reservation, and 888-236-2427 for Marriott changes.

EARLY DEPARTURES
Room and tax will not be credited for early departures or change in departure date after 14 days prior to arrival, checkin or checkout.

SPECIAL ACCOMMODATIONS & DIETARY NEEDS
Accommodations for disabled registrants can be made. Please attach a written description of needs to the registration form. Please call or e-mail Debbie Hill, Director of Meetings & Conventions at debbie@napslo.org, with any special dietary needs.

SUITES
All requests for suites must be made in writing and e-mailed to vicky@napslo.org. Suite reservation requests prior to the night of Sunday, October 9 or after the night of Thursday, October 13 will be handled on space available basis. You must be registered for the convention prior to submitting a suite form.

A very limited number of rooms are available Sunday, October 9. Suite confirmations will be e-mailed directly from the hotel, but please allow several weeks to receive. All changes in arrival or departure dates should be e-mailed to vicky@napslo.org

Once you receive confirmation of your suite type, please coordinate your food & beverage needs with the hotel contacts noted below. Please finalize your food and ........... .beverage needs for your suite at least two (2) weeks prior to arrival.

PRIVATE MEETINGS AND RECEPTIONS
Meeting Space forms can also be downloaded and submitted to NAPSLO. Forms will not be processed unless you have registered for the Convention. On- and Off-site functions are allowed as long as they are conducted according to the rules listed below. NAPSLO must be informed of all On- and Off-site functions. NAPSLO has control of all meeting space and outlets at the convention hotels.

On and off-site functions are allowed as long as they are conducted according to the rules listed below. NAPSLO must be informed of all on and off-site functions. NAPSLO has control of all meeting space at the hotels. Please notify NAPSLO of all On and Off-site functions by completing the on and off-site form. 1. Tuesday will be open for members to meet with other members. Only on-site functions will be allowed Tuesday evening prior to 7:30 p.m, and on and off-site functions will be permitted after 7:30 p.m. Both on and off-site hospitality functions and receptions will be allowed after 7:30 p.m. on Tuesday and evening on Wednesday.

2. No functions or transportation to functions may conflict with the Opening Reception on Monday, October 10 from 5:30 p.m. – 7:30 p.m.  Please schedule transportation to off-site events on Monday to begin no earlier than 7:30 p.m. Transportation can not interfere with the Opening Reception.

3. NAPSLO must be informed of all hospitality functions whether they are held On- or Off-site. This is necessary to allow NAPSLO staff to respond to questions regarding hospitality functions, times and locations. It also allows NAPSLO to provide accurate motor coach information to the hotel’s security department. Click here to be directed to the NAPSLO website to download on/off site forms.

4. Members will not be permitted to deliver any gifts, invitations or brochures to guest rooms.

5. Meeting space is available to registered members only. NAPSLO must have your firm’s completed registration material prior to releasing meeting space for your private function. A meeting space request form can be downloaded online. Please submit the completed form to the NAPSLO office by mail, email to debbie@napslo.org or fax to 816-741-5409. 6. Due to the limited meeting space available, firms must register at least 10 delegates to have exclusive use of a meeting room during the day (7:00 a.m. to 4:00 p.m.) There is no minimum registration requirement for evening functions.  Meeting rooms are limited to one per firm with 10 registrants.  Forms will not be processed until ten (10) delegates are registered for the convention.

7. Meeting space will be located in a secure area. It will be necessary for all employees, planners and guests to be registered for the convention in order to gain access to your private meeting room for meetings,  meal functions and/or receptions. No exceptions will be made. Meeting space is limited to one meeting room per firm. Meeting space is available from Noon – 5:00 p.m. on on Monday and from 7:30 a.m. – 4:00 p.m. on Tuesday and Wednesday. Meeting space is available after 7:30 p.m. on Monday, and  after 5:30 p.m. for receptions and dinners on Tuesday and Wednesday. Please do not make plans for your meeting or event until NAPSLO has confirmed meeting space availability.

8. If all the meeting space has not been reserved as of  July 15, a firm with more than 10 registrants may request additional meeting room per every 10 additional registrants.
